Law, accounting, medical — 5 to 15 people

Use AI on client files without sending them out of the office.

A junior asks a question in ordinary English and gets the clause, with the file and the page. The file never leaves the building. One fee for the practice, not a bill per person. If your machines cannot run it, we say so on the first call and we do not take a second one.

The call is free and there is nothing to install beforehand. If it will not work on your equipment, we will tell you on the call. Or write to elena.thorne@getleveragesystems.com.

Illustrative layout of what staff see after install. Built from a sample of public documents, not a client file. On the call we run the same kind of search against a sample of yours, on your hardware.

What this actually is

Most practices keep years of contracts, filings, correspondence and case files across a shared drive or a document management system. Finding the one clause you need means remembering which matter it was in, then opening files until you find it.

This replaces that with a question. Someone types “which of our supply agreements cap liability at twelve months?” and gets back the three documents that do, with the page number for each. It takes a few seconds rather than an afternoon.

The important part is where it runs. Tools like ChatGPT send your documents to a company’s servers to be processed. This does not. The software sits on a machine in your office, reads files from your own drive, and works with the internet disconnected. There is no account, no subscription to a software company, and no third party holding your clients’ information.

Why not just use ChatGPT

You can, and for plenty of work you should. The difference matters once the document contains something you are professionally obliged to protect.

Cloud AI

  • The document is transmitted to and stored on another company’s servers.
  • Using it with client material generally requires written consent, a vendor security review, and in healthcare a business associate agreement.
  • That paperwork has to be repeated and reassessed every year, for every tool.
  • Priced per person, typically $300–500 a month each, so the bill grows as more of your staff use it.

Installed in your office

  • The document never leaves the building. We prove it during setup by disconnecting the network and running the same search.
  • No third party is involved, so there is no consent to collect, no vendor to review, and no agreement to negotiate.
  • Nothing to reassess annually, because there is no outside company in the arrangement.
  • One fee for the practice. Put everyone on it and the price does not change.

To be clear, cloud AI is permitted in professional practice. It simply arrives with administrative obligations that this approach removes entirely.

What it costs against the alternative

Cloud tools charge per person. We charge once for the practice. Below a certain size their pricing wins, and the calculator will say so.

Cloud, first year

$28,800

Ours, first year

$16,500

Ours is $12,300 less in the first year.

Every additional person costs nothing.

The first year includes the one-off setup. After that the comparison is $9,000 a year against a per-person bill that keeps rising. Hardware, if you need it, is quoted separately and at cost.

How it goes

  1. One

    A short call

    20 minutes, free

We look at what equipment you have, roughly how many documents you hold, and the kind of questions you need answered. We test search speed against a sample of your own files. If your computers cannot handle it, this is where you find out, before any money is discussed.

  2. Two

    Installation

    One session, around two hours

We connect by screen share to the machine it will run on, with one of your people watching the whole session. The software goes on, your files are indexed, and we test it against real questions together. When we are finished you close the remote connection and it continues working without us.

  3. Three

    Training and adjustment

    The following month

A 45-minute session for whoever will be using it, then a month of adjustment while your team puts real questions through it. We tune the search based on what people actually ask rather than what we assumed they would.

What is included, and what it costs

$7,500
One-off, to set it up
$750/month
Support, for the whole practice

The one-off fee covers

  • The search system installed and configured on your hardware
  • Separate logins for each member of staff, with a record of who searched for what
  • Reading in and indexing up to 5,000 documents, including scanned ones
  • Testing several models against your own documents to pick the one that performs best
  • Installation by screen share, with your people watching
  • A 45-minute training session for your staff
  • A month of adjustment after it goes live
  • A written handover document so your own IT support can maintain it

The monthly fee covers

Documentation you can show a regulator or a client, not just maintenance.

  • A quarterly written report testing search accuracy against a fixed set of questions, dated and signed
  • Retained access records, in a format an audit or complaint can actually use
  • Written input each year for your security risk assessment, covering this system specifically
  • Prepared answers for client questionnaires and outside counsel guidelines asking how you use AI
  • Training for new staff as people join
  • A named person to contact when something stops working
  • Software updates and re-indexing as your archive grows

Hardware is quoted separately and at cost. We do not take a margin on equipment. Many practices already have a machine that will do the job. Where one is needed it is usually $2,000 to $3,500, and we tell you which situation you are in during the first call.

You can stop the monthly fee at any time. The system is installed on your hardware and belongs to you. Stopping the monthly means giving up the reports and the updates, not the software.

If searches are not returning results in under five seconds after installation, you do not pay the setup fee. We agree how we will measure that on the first call, using your own documents, before any money changes hands.

Who you would be working with

The people on the call are the people who install. We work United States and United Kingdom hours, because that is where the practices are. You will not be handed from a sales voice to a stranger.

Engaging a firm you have not sat in a room with, to work near confidential files, is a real decision. Rather than ask you to trust a map, here is how we make ourselves checkable.

How we make ourselves checkable

  • The first conversation is a video call. You meet the people who would do the work before you decide anything. After that, we use whatever suits the job — video, screen share, or email.
  • Payment by bank transfer or card only. Never cryptocurrency, never a personal wallet, never a money-transfer app you have not heard of. If anyone contacting you asks for those, it is not us. Instructions go out from elena.thorne@getleveragesystems.com after a written scope is agreed.
  • A written scope of work before you pay anything. What we are installing, what it will do, what it will not do, and what happens if it does not perform.
  • You hold the off switch throughout. Remote access is by screen share that you initiate and you can end. We never hold standing access to your systems, and nothing we install reaches back out to us.
  • The setup fee is not payable until the system meets the standard we agreed. You are not asked to pay for a promise.

Questions we are usually asked

The underlying software is free. What are we paying for?

That is correct, and you are welcome to install it yourselves. The free version runs for one person, has no logins, and its own documentation advises against making it reachable by anyone else. A practice needs several people using it, each with their own access and their own record of use, which is a considerably more involved setup. The larger part of the work, though, is preparing the documents. Getting several thousand scanned and inconsistent files into a state where a search returns the correct clause rather than a plausible wrong one is where the time goes, and it is what decides whether your staff still trust it six months later.

We already pay for ChatGPT at work. Is that not the same thing?

Not for this purpose. Their commitment not to train on your data is a contractual one, and it is a real commitment. But the file still travels to their servers, which means it sits inside their security perimeter and is reachable by a legal request made to them rather than to you. For most business documents that is a perfectly reasonable trade. For material you are professionally obliged to protect, the difference between a promise not to look and the file never leaving your office is the entire point.

Honestly, is this not expensive?

You are not paying for a search box. You are paying for a practice-wide install: logins, an access record, document preparation so answers stay trustworthy, and a written paper trail you can show a regulator or a client. Cloud legal AI runs $300 to $500 per person each month, so a practice of ten passes six figures across three years and the figure rises every time someone joins. Ours does not. If you are two people, a couple of cloud licences is genuinely cheaper, and we will say so on the call rather than sell you something you do not need.

Who is this not suitable for?

Sole practitioners and two-person practices, usually. The arithmetic does not favour us at that size unless keeping files off other companies’ servers is non-negotiable for you. It is also wrong for anyone hoping it will exercise professional judgement rather than find documents quickly, and for practices with a small archive, where better folder structure would achieve the same thing at no cost.

What equipment do we need?

Sometimes new equipment, and we would rather say so now than surprise you later. The practical minimum is 32GB of memory, a solid state drive, and a reasonable graphics card, or an Apple computer with equivalent memory. A standard office computer with 16GB and no graphics card will technically run this and will take about thirty seconds to answer, which means nobody will use it twice. A suitable machine is usually $2,000 to $3,500 and we quote it at cost. We establish which situation you are in on the first call, before you have paid anything.

Can it be wrong?

Yes, and it is built on the assumption that it will be. Every answer shows the document and page it came from, so the intended use is to find and then verify, never to accept and forward. Treat it as an extremely fast way to locate the right paragraph, and never as an opinion on what that paragraph means. Anyone offering you more certainty than that is overselling.

What happens if your company ceases trading?

The system runs on your hardware, is built on open source software, and you receive a written handover document when we finish. There is no licence that can expire and no server of ours that can be switched off. If we disappeared tomorrow it would carry on working exactly as it did the day it was installed, and your own IT support could maintain it.

Do we have to replace our document management system?

No. It sits alongside whatever you already use, whether that is a document management system or a shared drive, and reads the same files. Nothing is migrated and nothing is moved.
